How to use the bookkeeping report maker
- Choose your country (it fills in the currency, tax name and rate), the period and whether you’re VAT/GST-registered.
- Drop in your documents: PDF invoices, photos of receipts, and bank statements as CSV, Excel or PDF.
- Check the table. Fix any wrong date, amount, tax or category, untick private lines, and mark equipment as “Fixed asset”.
- Optionally add salaries (one line per employee per month), assets from earlier years and the year-end figures for the balance sheet.
- Read the report, then download it as Excel or CSV, or print it or save it as a PDF.
What it can read
- PDF invoices and receipts with real text: read directly, in any language.
- Photos and scanned PDFs: read with text recognition (OCR) that runs on your device, in English, Spanish, French, German, Portuguese and Italian.
- Bank statements exported as CSV or Excel (.xlsx): the date, description and amount columns are found automatically, including separate debit and credit columns. PDF statements work when each transaction is on one line.
- A saved working file, so you can stop and continue later.
What the report contains
- Bank reconciliation: every bank line is matched to its invoice or receipt by amount and date, and you see which payments have no document and which invoices are unpaid. Matched pairs are counted once.
- Payroll: gross pay, employee and employer contributions, income tax, net pay and total cost per person and month, with paid leave and sick days. Bulgarian 2026 rates are filled in; other countries enter their own.
- Fixed assets: straight-line depreciation for the period and the book value at the end.
- Income statement and draft balance sheet, with a profit tax estimate.
- VAT/GST journals (sales and purchases) and VAT per month.
- Income, expenses and profit (or loss), with your profit margin.
- VAT/GST charged on sales, paid on purchases, and the difference to pay or reclaim.
- Income and expenses by category, by month and by supplier.
- A ledger with every line, in your report currency and the original currency.
- A list of things to check: lines without dates, possible duplicates, missing exchange rates.
The Excel file has separate sheets for the summary, ledger, journals, VAT by month, reconciliation, fixed assets, payroll, balance sheet, categories and months, ready to send to an accountant.
Income or expense?
Bank lines with money coming in are income and money going out are expenses. For documents, enter your business name: invoices with your name at the top are counted as sales, and everything else as purchases. You can change any line in the table.
Important
This is a helper for keeping your books in order, not tax software. It doesn’t file anything, and the report is not an official tax return or certified accounts. Tax rules (what you can deduct, reduced rates, how to convert currencies) differ between countries and businesses, so check the report and ask an accountant or your tax office before you rely on it.
